At the end of a call, when the disposition is set and the call is saved, data about the call and lead can be sent to a CRM or an external website address, set in Project > Calls out > Settings.

This option allows you to post your call notes and tasks to your CRM connected to Zipier.

This allows you to create a webpage that receives the data and updates your own CRM or database (or sends the data to other 3rd-party systems.)

Zipier is working on this. There will be no extra charge once the predictive dialer is released. A predictive dialer normally requires at least five agents to function properly.

Zipier fully supports automated sequential dialing. Zipier also gives you the option to show call info before dialing Project > Calls out > Settings > Dialing speed. Zipier also allows you to enter a number for a 'one off' call Project > Project.

If you want to do quality management (QA) for calls dialed through Zipier Phone System, you've got two options:

  1. Selective QA:
    • In each Zipier project you'll find a list of calls made at Project > Calls out > Calls list.
    • Click a row in the calls list to show that call's recording and other details.
  2. Automated QA: Random calls from the project are presented to the reviewer until the target is met.

Here's the steps to do automated QA:

  1. Turn on call recordings at Project > Calls out > Settings > Turn on recordings a....
  2. Make some calls.
  3. Set "Review target" at Project > Calls out > Settings > Review target.
  4. Listen to the selected call recordings by clicking the "Review calls" at Project > Project.
  5. If you don't have the "Review calls" button you'll need to get yourself added as a reviewer at Project > Members > Reviewers.
  6. Categorize each call against 24 "good", and 35 "bad" critiques (keyboard shortcuts make this easier) found at zipier.com/help/.Zipier_Phone_System/Quality_management/
  7. Click "Reviewed" save.
  8. Continue until the target is reached.
  9. Alternately, you can also find those calls at Project > Calls out > Calls list.

  • Narrow leads by usage (only used, only unused, etc);
  • Show leads uploaded on a date;
  • Display leads that are in a country or state;
  • Search for external ID, company name and email;
  • Search by any of your custom fields.

After completing a search you'll see several buttons:

  • "Change search" will open the search form again;
  • "View calls" will show you the list of calls made for up to 10 checked leads;
  • "Delete" will delete checked leads;
  • "Edit" will show you the edit form for checked lead (one at a time);
  • "Download X leads" will download all matching leads as a CSV file.
 

Click the checkbox in the top left corner of the search results table to select/deselect all results.

You can select/deselect a range of leads by holding down "Shift" as you click a checkbox.

 

If you need to find a particular lead but don't see it in search results you can:

  • Narrow your search by entering more characters of name or phone, selecting proper disposition, calling date range, import date etc;
  • Extend your search by including deleted leads, or searching in other projects.
 

You can click "Download" to get a CSV file with all leads matching your search criteria.

To make calls to a pool of leads, the leads need to first be imported into Zipier from a file such as an XLS spreadsheet or CSV (comma-separated values) file. The columns in the file need to list the data stored in the order specified within Zipier.

 

Before importing leads go to the Project > Leads > Field headings tab. The spreadsheet or csv file you upload will need to have column headings that match the headings set on this page. Setting the column headings helps clarify what information goes in each column to ensure that data is imported into Zipier correctly. This allows you to use the field names that make sense for your data, while still having the Lead import know how to use that data.

Each column has quick-help notes (in the yellow popup) which describes the expected contents of that column. It also shows the tag that can be used to include that data in the Call Script. If you won't be using a column then you can set it's heading to be empty or something like "ignore", or leave it as the default.

 

It's recommended that the first time you're making a new import file you download an empty template file from the Project > Leads > Field headings tab, either as CSV or XLS. This will have the column headings already set to the field headings you specified, so that you can match up your data to the correct column order.

Edit your spreadsheet by moving columns into the order they've been specified in the template file, and inserting blank columns as needed. If you need to change the field headings you can do so, and then download a new template file at any time.

 

Once your spreadsheet is ready you can start the import by going to Project > Leads > Field headings and browsing for the file. There are some other optional settings you may wish to enter:

  • How to handle duplicate numbers - either numbers that are in the import batch more than once, or numbers you're importing that have been imported in the past.
  • A default prefix for the phone-number to call - numbers need to be in international format, so if your lead data was supplied in a local format (e.g. 123-555-1234 instead of +1-123-555-1234) then you can set the prefix here instead of editing all the rows throughout the spreadsheet.
  • Default country and state code - If you're using the setting Only call between (see below), you can enter the 2-letter codes here that'll be used as the default for any lead that's missing the country and/or state code.

Then click "Import", and your file will be uploaded to the server (this could take a minute or two, depending on the size of the file.)

You'll be shown a preview of the first 100 rows of the import data.

If there are any errors in the data, or in the field headings, or if there are duplicate numbers to be warned of, then those warnings will be shown on this page in red. You can either:

  • Cancel the import, correct the errors in your file, and upload again; or
  • Continue, which will ignore the errors and only import the rows that didn't have an error.

When you click continue the lead import will be completed, and you'll be shown a save message saying how many leads were imported. Compare this number to the number of rows in your file (minus the heading row), to verify that none were missed. You can also continue to the View Leads page to check that the data is in the correct fields and in the correct format. These verification steps are particularly recommended for the first one or two imports from a new source of data, or in a new project.

 

Included in the import columns are 20 general purpose fields described as "Extra info".

These allow you to store many other pieces of information per lead, beyond just the basic contact information. Data stored in these extra info columns can be included in the script, entered or edited by the Rep, sent to the call data API, and downloaded to csv file along with all the other lead information.

These fields are limited to 1000 characters each.

 

You can set Zipier to only call a lead between certain times - set in Project > Calls out > Settings > Only call between fr... To use this feature Zipier needs to know the timezone for each lead.

If you don't intend to use the Only call setting then the country and state fields should be left blank in both the file, and in the defaults.

If the country is set for any lead, but the state is left empty then a default timezone may be assumed for countries that span several timezones: US defaults to Central, Canada defaults to Eastern, Australia defaults to NSW.
