Here's the minimum steps to get going with Zipier Attendance:

  1. Sign up and enter your own information.
  2. Invite people by entering their work email address at Menu ➜ People ➜ Invite person.
  3. Start your work-time (top right corner), and get your people to start theirs too.

That's it. Give it a few days, and your reports will start to look interesting.

If you'd like to try some more advanced features, you could:

Answer. Yes. Add people as workers, then select the project when clocking time.

To can track time spent on different tasks or projects, you'll need to:

  1. On each project add your people as People ➜ Projects ➜ Worker.
  2. Now you're all set. Click the work-time menu (top right corner) and choose "Projects".
  3. Select your project from the list.

You can switch projects as often as you like. Zipier Attendance will keep track of each switch.

Answer. Yes. At the end of each pay period, get sub-totals of hours worked on each paystub.

Here's how to setup for payroll:

  1. Setup a pay batch with your pay day cycle.
  2. Add people to that pay batch at Pay batches ➜ People.

Now you're all set!

  • At the end of each pay period, get sub-totals of hours worked on each Paystubs.
  • Copy and paste them into your payroll system.

If you do these steps at a later date, Zipier Attendance will still back calculate all the sub-totals and display them on each paystub.

To calculate total hours between specific start and end dates, first choose:

Just because a person has been deleted, you're not stopped from seeing their timesheets and paystubs. To see them, first you'll need to navigate to the person:

  1. Home > Deleted.
  2. Choose "People".
  3. Then click on the person you want.

Once the person is open:

  1. Click on the calendar in the top bar.
  2. Choose the timesheet or paystub that you want.

Answer. Turn off your "Timesheets" subscription.

To turn off emails from your people's timesheets, go to People ➜ Settings ➜ Emails ➜ Daily timesheets sen..., and turn off "Timesheets".

You're getting these emails because you're the manager, supervisor, or project leader of these people.

If you these timesheet emails from some people, but not others, remove yourself from being the manager, supervisor, or project leader of the people you don't want timesheet emails from.

Answer. Use the copy planned times feature.

Copy planned times allows you to copy times to as many other people as you like:

  1. Setup a Timesheets's planned times for one person, for one day.
  2. Take your time to get this timesheet perfect.
  3. Once you've saved that timesheet, go to Timesheets ➜ More ➜ Copy planned.
  4. Select the:
    • Names of the people you'd like to copy planned times to.
    • Dates you'd like to copy planned times to.
  5. Once you click "Save" you'll see a confirmation of all the timesheets that were successfully updated.

Notes:

  • This won't copy "done" times. It'll only copy "planned" times.
  • This will overwrite previous "planned" times set for these people and dates.
  • Choose all the people and dates you like (up to 6 weeks into the future).
  • Try Ctrl+Click and Shift+Click to speed up selection.

The advantages of "planned time" on a Timesheets are:

  • People get their upcoming work hours without having to ask.
  • Manager's get a "Late start" email anytime people are late.
  • Track attendance as a percentage on the People ➜ Attendance ➜ There report.
  • Compare the "There" percentage (last three months) between people at People ➜ HR ➜ Assessment.
  • Zipier Timer Chrome extension can pop-up a reminder when a shift is about to start or stop.

Once you've setup the planned times for one person, Zipier makes it easy to copy them to as many other people as you like with Timesheets ➜ More ➜ Copy planned.

When you see the snail on the days timeline or timesheet it means that the person was late starting one of their planned times.

The snail can only show if the person's planned time was entered earlier.

You can see a total of these at the bottom of the "Late starts" column on the Paystubs details.

Each time you submit a timesheet (with changed times) or do a "Stop", emails will be sent to your manager, supervisors, and project leaders.

You'll see a pop-up showing you which of these people gets your timesheet email (depending on who's subscribed).

You can then use that device to record arrival and departure times of your people. These times automatically feed through to their timesheets and paystubs.

To add notes to your timesheet throughout the day:

  1. Go to the work-time menu (top right corner of Zipier).
  2. Click "Add note".

Your notes will be appended to other notes left earlier in the day, each with a timestamp recording when the note was written.

To stop your work-time when you like to go on a short break or stop for lunch:

This will stop your work-time, change your status to yellow , and put a reminder on screen to start it again when you return.

To restart your work-time when you return, click "I'm back".

You can easily see if your work-time is started by looking at your portrait photo top right corner of Zipier.

  • A green dot means your work-time is started.
  • A light gray dot means your work-time is stopped.

Permission to fix a forgotten clock-in depends on Org settings ➜ Attendance ➜ Settings ➜ Only managers, super...:

  • If turned off (the default), you're free to edit your Timesheets yourself.

  • If turned on, only admins, or project leaders can correct your work start time.

If you forgot to put yourself on break you can wind back your work end time by going to:

  1. The work-time menu (top right corner).
  2. Then choose "I forgot".

If you're running Zipier Desktop, Zipier detects how long you've had no activity and suggest your "forgot" time.

Once corrected, you can choose to:

  1.   Return to being clocked in, and get back to work.
  2.   Continue being on break, now with the correct break start time set.
  3.   Finish, with your "forgot" time closing your working day.

In a casual workplace, "I forgot" is very useful.

Answer. Your work-time gets its time from your computer's time-zone.

You may find that Zipier's time is even more accurate than your computers.

  1. Zipier detects and stores your computers time-zone when you login.
  2. Your time-zone is then sent to a synchronized server clock.
  3. The server sends back an accurate time to show on your work-time menu.

Zipier Desktop coordinates times the same way (reports the computer's timezone, but uses server accurate time).

If you change your computer's time-zone (e.g. you fly to a different country), you'll need to restart your browser and log in again. Zipier Desktop will automatically pick up the change within 60 minutes.
